Job Description

Avenue Living Communities, a fast-paced, fast-growing owner and operator of apartment buildings in Western Canada is looking for a Regional Administrative Assistant to assist our Calgary team. Backed by our entrepreneurial spirit, passion and commitment to great customer service and satisfaction, we have acquired a portfolio of 9000 apartments since our inception in 2006 and are continuing with this aggressive growth plan.Job Summary:The Regional Administrative Assistant will be providing a high level of administrative support to theResidential Portfolio Manager and assist with the overall management of the portfolio.Key Responsibilities:

  • Perform rent collection by collecting, monitoring, and delivering outstanding balance notices, evictions, NSF notices and follow up
  • Ensure that a superior level of co-operation, service and support is provided to residents
  • Ensure building standards are maintained to a high level and building staff are performing duties in a professional manner
  • Assist in resolving resident complaints and concerns in a timely fashion with a view to driving resident retention through a superior level of customer satisfaction
  • Ensure both electronic and physical resident files are maintained and up to date
  • Perform adhoc deposits for the property
  • Provide support for the Residential Portfolio Manager with administration, managing office supplies, couriers, staff IT and phone needs
  • Assist with lease administration
  • Prepare resident notices for various maintenance related projects
  • Prepare correspondence as necessary
  • Formulate and distribute resident letters
  • Assist the Residential Portfolio Manager with preparation and tracking of quarterly/annual budget and obtaining necessary reports
  • Manage the administrative process for contractor documentation
  • Maintain and update resident lists / files and other files as necessary
Customer Service
  • Respond to general day-to-day inquiries from residents, service providers and contractors
  • Provide additional assistance in resolving day-to-day issues as required
  • Ensure customer inquiries are responded to with in 24 hours
  • Respond to requests from residents, staff, contractors, suppliers and outside agencies
  • Ensure excellent resident relations through personal contact and excellent customer service
  • Execute all work in a safe, professional manner in compliance with Occupational Health and Safety Legislation
  • Adhere to standard processes & procedures
  • Other duties as required
  • Diploma in Office Administration or similar preferred
  • Excellent written and verbal communication
  • Organization and planning skills
  • Strong problem-solving skills
  • Ability to plan and prioritize workload
  • Ability to handle confidential and sensitive information
